UNLEASHED YOUTH SIMRACING CHAMPIONSHIP 2025 EVENT POLICY
(Version 1.1 – 28 June 2025, Kuala Lumpur)
1 Introduction
1.1 This Event Policy ("Policy") is issued by COVE ESPORT SDN. BHD. (Registration No. 201701038081) trading as COVE CIRCUIT ("Organiser") and
sets out the terms and conditions governing participation in the Unleashed Youth Simracing Championship 2025 ("Event").
1.2 This Policy is drafted in accordance with the laws of Malaysia and shall be construed accordingly.
Nothing herein limits or prejudices any statutory right or remedy available under Malaysian law.
1.3 The Organiser shall issue a separate Tournament Rules & Regulations governing the sporting format. In the event of conflict, this Policy prevails on matters outside pure sporting rules.
2 Definitions
Participant -
An individual who registers for, competes in, assists with or attends any Event activity.
Competition Area-
Any physical or digital space where official Event sessions are conducted.
Equipment-
Any sim‑racing rig, computer, console, peripheral or software utilised for the Event.
Qualifying Round-
A time‑trial, heat or session designated by the Organiser for the purposes of qualifying to the next stage of the Event.
3 Eligibility
3.1 Age. Participants must be eighteen (18) to twenty‑four (24) years old as at 15 August 2025.
3.2 Residency. Participants must be— (a) a Malaysian citizen (MyKad); or (b) a Malaysian permanent resident (MyPR); or (c) a non‑citizen holding a valid student, work or
long‑term social visit pass that remains valid through 17 August 2025.
3.3 Maximum Entries. Each Participant may take part in up to two (2) Qualifying Rounds only. If a Participant enters more than two (2) rounds,
only the results from the first two (2) rounds chronologically completed shall be recognised; all subsequent entries are void and no refunds or protests will be entertained.
3.4 One‑Person, One‑Identity. Registration is personal to the applicant and is non‑transferable. Any attempt to register or compete under multiple identities constitutes fraud
and may result in disqualification and further legal action.
3.5 Proof. Original identification documents and, where applicable, valid passes/permits must be produced upon request.
False, misleading or incomplete declarations shall result in immediate expulsion without refund.
4 Registration & Fees
4.1 Registration Process. All mandatory fields in the online registration form must be completed truthfully and accurately. Supporting documents must be clear and legible.
4.2 Registration Fee. A non‑refundable fee of Ringgit Malaysia Ten (RM 10.00) is payable per Participant at the point of registration.
4.3 No Refunds. The Registration Fee is strictly non‑refundable under any circumstances, including without limitation a Participant’s withdrawal, disqualification,
failure to check‑in, rescheduling, postponement or cancellation of the Event.
4.4 Background Verification. The Organiser reserves the right to conduct background checks (including previous cheating offences) and to reject any application at its sole discretion.
5 Check‑In & Attendance
5.1 All Participants must check in no later than thirty (30) minutes before their scheduled session time.
5.2 Failure to check in punctually may result in the forfeiture of the session and the Registration Fee. The Organiser’s decision is final and no protest will be entertained.
6 Code of Conduct
6.1 Respect & Sportsmanship. Harassment, hate speech, or discrimination on any ground (including race, religion, gender, orientation, or disability) is strictly prohibited and may constitute an offence
under section 509 of the Penal Code and section 233 of the Communications and Multimedia Act 1998.
6.2 Fair Play. The use of software hacks, macros, hardware modifications, ghost inputs or any form of unfair advantage is forbidden. Equipment inspections may be conducted at any time.
6.3 Substances. Alcohol, vaping and controlled substances (Dangerous Drugs Act 1952) are prohibited within the Competition Area.
6.4 Dress Code. Closed‑toe footwear is compulsory. Attire must be neat and free from obscene, political or inflammatory content.
6.5 Venue Rules. Participants shall comply with instructions issued by marshals and venue security, and shall observe the Occupational Safety & Health Act 1994 and all venue‑specific safety guidelines.
6.6 Sanctions. Breaches of this section may result in warnings, time penalties, disqualification, removal from the venue and/or referral to the authorities.
7 Health, Safety & Security
7.1 Emergency Services. The Organiser will provide qualified first‑aid personnel and an Automated External Defibrillator (AED) onsite.
7.2 Medical Fitness. Participants warrant that they are physically and mentally fit to compete and shall disclose any medical condition (including photosensitive epilepsy) during registration.
7.3 Insurance. Public liability cover is arranged by the Organiser. Participants are strongly advised to obtain personal accident insurance at their own cost.
7.4 Communicable Diseases. Participants shall comply with any Standard Operating Procedures (SOPs) issued by the Ministry of Health (MOH) in force at the relevant time.
8 Intellectual Property & Media Rights
8.1 Participants grant the Organiser, its sponsors, media partners and assigns a perpetual, worldwide, royalty‑free licence to use their name, likeness, voice,
gameplay footage and any photograph, audio or video recording taken during the Event for promotional, broadcast or archival purposes.
9 Data Protection
9.1 Personal data is processed in accordance with the Personal Data Protection Act 2010 and the Organiser’s Privacy Notice (accessible via the registration portal).
9.2 Data subjects may submit access or correction requests to racecontrol@unleashedsimracing.com.
10 Liability & Indemnity
10.1 Assumption of Risk. Participation in esports and physical events carries inherent risks, including equipment malfunction, physical strain and crowd‑related hazards.
10.2 Indemnity. Participants indemnify and hold harmless the Organiser, sponsors, partners and venue owners from all loss, injury or damage arising from their acts or omissions,
save for loss caused by proven gross negligence of the indemnified parties.
10.3 Limitation. The Organiser’s cumulative liability to any Participant is limited to RM 500, except for death or personal injury caused by the Organiser’s negligence, for which liability is unlimited.
11 Anti‑Corruption & Compliance
11.1 No Participant shall offer, solicit or accept any bribe, kickback or improper advantage, consistent with the Malaysian Anti‑Corruption Commission Act 2009.
11.2 Betting or match‑fixing on Event outcomes is strictly prohibited. Offenders will be reported to the authorities.
12 Cancellation, Postponement & Force Majeure
12.1 The Organiser may modify the schedule, format or venue, or cancel the Event due to force majeure (including, but not limited to, natural disaster, pandemic, governmental directive,
or any circumstance beyond the Organiser’s reasonable control).
12.2 No Refund. In all circumstances—including cancellation or postponement—the Registration Fee remains non‑refundable.
12.3 The Organiser shall not be liable for any cost, expense or loss incurred by Participants as a result of such modification, cancellation or postponement.
13 Dispute Resolution
13.1 In the first instance, disputes shall be raised informally with Event officials.
13.2 Unresolved matters shall be escalated to the Event Jury, whose decision shall be final and binding.
13.3 Any dispute not resolved under clause 13.2 shall be submitted to the exclusive jurisdiction of the courts of Malaysia, and this Policy shall be governed by and construed in accordance with Malaysian law.
14 Amendments
14.1 The Organiser reserves the right to amend this Policy. Material changes will be announced on the official Event website and e‑mailed to registered Participants
at least seven (7) days in advance unless urgent safety or legal reasons require immediate effect.
15 Acceptance
15.1 By ticking the "I agree" box during online registration or by entering any Event venue, you acknowledge that you have read, understood and agree to be bound by this Policy.

1. INTRODUCTION
1.1 This Rulebook governs every sporting and operational aspect of the Youth Sim Racing Championship 2025 ("Championship").
1.2 By registering or participating, each driver ("Participant") agrees to comply with this Rulebook and the separate Event Policy.
2. DEFINITIONS

Event Policy – legal document covering eligibility, fees, PDPA, IP rights, liability and safety.

Race Control – in‑house officials appointed by Cove Circuit; oversee timing, stewarding and enforcement.

Gran Turismo Penalty System – automated in‑game mechanism for track‑limit and collision penalties; decisions are final.

Clean Lap – lap completed without in‑game penalty, major contact or off‑track excursion.
3. CHAMPIONSHIP CALENDAR
Qualifying – Male Category
• Round 1 : 2 Aug 2025 (14:00‑22:00) @ Cove Circuit Cyberjaya
• Round 2 : 3 Aug 2025 (14:00‑22:00) @ Cove Circuit Cyberjaya
• Round 3 : 9 Aug 2025 (14:00‑22:00) @ Cove Circuit Bandar Sunway
• Round 4 : 10 Aug 2025 (14:00‑22:00) @ Cove Circuit Bandar Sunway
Qualifying – Female Category
• Round 1 : 2 Aug 2025 (12:00‑14:00) @ Cove Circuit Cyberjaya

4. ELIGIBILITY & REGISTRATION
4.1 Age 18‑24 on 15 Aug 2025.
4.2 Status – Malaysian citizen, permanent resident, or holder of valid student/work/social‑visit pass.
4.3 Registration fee – RM 10 non‑refundable.
4.4 Maximum two Qualifying Session per Participant; further attempts are discarded.
4.5 Check‑in – report a minimum of 30 minutes before your slot; late arrivals may be refused.
5. VEHICLE, TRACK & SIMULATOR SETTINGS
5.1 Qualifying
• Car: Audi TT Cup ’16 – Balance of Performance enabled; stock; no tuning.
• Track: Fuji International Speedway – Short Course
• Tyre: Racing Soft
• Conditions: Clear & dry preset.
• Lobby: 20‑minute multiplayer session.
• Rig: Organiser‑supplied simulators
5.2 Semi‑Final & Grand Final – TBC
• Cars, tracks, lobby settings and multipliers will be announced on 12 Aug 2025 via Sporting Bulletin.
6. SESSION REGULATIONS
6.1 Qualifying Procedure
6.1.1 Each lobby runs for 20 minutes; drivers may complete unlimited laps.
6.1.2 The fastest Clean Lap recorded by Race Control is the session result.
6.1.3 Hardware / network failure – the race will not restart. Affected drivers may re‑enter the lobby if time remains; otherwise their existing lap time stands.
6.2 Semi‑Final & Grand Final Procedure
6.2.1 Format details released 12 Aug 2025.
6.2.2 No restarts for hardware failure.
7. TIMING & SCORING
7.1 Official timing source: Gran Turismo timing feed.
7.2 Tie‑break (Qualifying): second‑fastest Clean Lap, then earliest timestamp.
8. PENALTY SYSTEM
8.1 In‑game penalties are final and unappealable.
8.2 Race Control may apply post‑race disqualification or additional time penalties for deliberate wrecking, abusive conduct, or manipulation of game settings.
8.3 There is no protest mechanism; Race Control decisions are final.
9. RACE CONTROL & AUTHORITY
9.1 Race Control consists of a Director and at least two Stewards.
9.2 Authority includes pausing sessions, removing drivers, and issuing Sporting Bulletins.
10. CONDUCT & SAFETY
10.1 Participants must:
• Wear closed‑toe shoes; use equipment responsibly.
• Treat organisers, sponsors, staff and fellow drivers with respect on‑site and online.
• Refrain from public complaints, harassment or defamatory posts on social media. Violations may lead to prize forfeiture and bans.
10.2 Hate speech, discrimination, cheating or vandalism equals immediate removal.
11. COMMUNICATIONS & BRIEFINGS
11.1 Primary channel: Participants must accept invitation to the official WhatsApp group; this is the first line for schedule changes, bulletins and results.
11.2 A mandatory drivers’ briefing and media day will be held 15 Aug 2025, 16:00‑21:00 at Sunway Pyramid (photos, jerseys, official tags).
12. PRIZES
• Male cash pool: RM 20,000 split among top 10 finalists (breakdown TBA). • Female cash pool: RM 10,000 split among top 10 finalists (breakdown TBA).
• Trophies and sponsor merchandise awarded post‑race.
13. AMENDMENTS
13.1 Cove Circuit may amend this Rulebook anytime; updates posted via WhatsApp group and Instagram.
13.2 Participation after an amendment constitutes acceptance.
